Event Submission Guidelines
Wayne State College is committed to providing clear, accurate, and accessible information about events and activities for our campus community. To help ensure consistency and compliance, all campus-wide events must be submitted through the official Event Submission Form before they can be advertised in any campus communication channels.
Why we require the form
- Consistency and coordination: Submissions go directly to a cross-campus team responsible for promoting, posting, and archiving events across multiple channels. Using the form ensures everyone who needs the information receives it at the same time, reducing errors and preventing missed steps.
- Visibility: Events submitted through the form will be included in appropriate outlets such as the campus website calendar, myWSC portal, digital signage (kiosks), email, and press releases, as applicable.
- Accreditation: The Higher Learning Commission (HLC) requires institutions to demonstrate that events and resources are publicly advertised and accessible. This includes not only student-focused programs (advising, health/wellness, career services, etc.), as well as cultural programming, academic lectures, fine and performing arts events, and community-facing activities. Form submissions help provide documentation to verify compliance.
Policy guidelines
- Required submission: Any campus department, office, student organization, or external partner hosting an event that invites all students, the entire campus, or the greater Wayne community must complete the form.
- Exclusions: This policy does not apply to internal meetings, club gatherings, or activities limited to a specific group of students. These types of events should be managed through the myWSC portal, where registered student organizations (RSOs) can create groups and schedule meetings. To set up access, please contact Alicia Dorcey-McIntosh.
- External organizations: The submission form is only available to those with an active WSC email account. If you are an outside organization partnering with Wayne State on an event, please contact College Relations at [email protected] for assistance.
- No direct requests: Emailing individuals or offices directly will not guarantee event posting. Submissions made outside of this form will be redirected back to the official process.
- Timeliness: Please submit events with adequate lead time to allow for review, posting, and promotion.
- At least 7 business days in advance for calendar and myWSC postings
- At least 10-14 days in advance if requesting press releases, flyers, or digital signage
- Accuracy: The information you submit will be used as provided, so please double-check date, time, location, links, and other details before submission.
Examples of events that must be submitted
If open to all students, employees, or the public, the following must go through the Event Submission Form:
- Academic events: guest lectures/speakers, research showcases, workshops, etc.
- Career development events: career fairs, resume workshops, employer visits, etc.
- Student services events: health and wellness events, counseling programs, etc.
- Campuswide activities: Homecoming, concerts, socials, athletics promotions open to all, etc.
- Cultural programming: multicultural celebrations, heritage events, etc.
- Fine and performing arts: theatre productions, concerts, recitals, exhibits, gallery openings, poetry nights, etc.
- Community-facing events: conferences, camps, public forums, speaker series, etc.
Examples of events that do not require submission
- Weekly club meetings or rehearsals limited to members of one group
- Study sessions for a specific class or small cohort
- Informal gatherings arranged by a small number of students or staff
How to submit
- Standard submissions - All events must be submitted via the Event Submission Form. Only form submissions will be used for advertising and record-keeping purposes. For best results, submit your event at least 10-14 days in advance.
- Bulk submissions (large series) - If you need to submit a large series of events, contact College Relations at [email protected]. We will help ensure your schedule is shared across all appropriate channels. Examples include a full semester of planetarium shows, a season of performing arts or athletic events, or other programs with dates confirmed well in advance.
Event changes and cancellations (important)
If your event details change (date, time, location, presenter, etc.), or if your event is cancelled, please notify College Relations immediately at [email protected] so we can update all promotions, calendars, and media (if applicable).
