Faculty and Staff Opening Meeting, Fall 2001

 

The Opening Meeting at Wayne State College involved all sectors of the campus in brainstorming, nominal group work, multi-voting, and other techniques to identify potential projects for continuous improvement. The event was organized around the AQIP Quality Criteria and involved close to 400 faculty and staff. The resulting projects were then rank ordered in a follow-up activity and the top projects are being addressed this year.

 

The new format for the Opening Meeting was developed to address the AQIP Quality Criteria concerning Planning Continuous Improvement. Each year, the Opening Meeting in August will serve as a way to involve the entire campus in the planning process and will be followed each year in April with a closing meeting to celebrate the progress on quality initiatives.

The "Proceedings Project" was initially developed to highlight annual progress on AQIP initiatives for the campus community.  It grew into an important tool to familiarize the entire campus community with the AQIP Quality Criteria and as a way to celebrate and recognize individual efforts toward quality improvement.  The process started at our opening campus meeting in the Fall of 2001 (details at www.wsc.edu/academic/aqip).

 

Faculty, professional staff, and support staff met and worked together to identify ideas and projects to improve the quality of our programs and services at Wayne State College.  At that meeting, too, we had promised that near the end of the academic year, a general meeting would be held to reflect on our academic year and to acknowledge the good work and efforts of our faculty and staff in meeting our quality objectives and our strategic goals.  In mid-March, our President sent a letter to everyone on campus announcing the end of year meeting in April.  Included in the letter was an invitation to all faculty and staff to prepare a brief description of any special initiatives undertaken to improve the quality of the College and to contribute to our AQIP goals.  Faculty and staff were encouraged, whether they had coordinated a large quality improvement project or a small one, to consider describing it and sharing the results with the rest of the campus.  The letter also included a simple one page reporting form and a description of the AQIP Quality Criteria with examples.  Using this report format highlighted the Quality Criteria and caused people to think about how what they were doing related to AQIP. We had a great response with over 150 reports from all sectors of the campus.  These unedited reports form the bulk of the Proceedings document that was distributed at the meeting.  In addition, we selected 20 projects for poster displays that were featured at the closing meeting.  Faculty and staff had the opportunity to visit with the poster presenters before and after the meeting.  The net effect was an increase in the visibility of AQIP, enhanced cross campus communication, and an increased appreciation of all the quality improvement efforts in progress.
